Syncing members and groups with Microsoft

Import and sync user groups straight from your organization's Microsoft account to Didacte

Didacte's Microsoft integration makes it easier to manage groups and members in your Didacte account by allowing you to synchronize these with your existing Microsoft groups structure.

Once the integration is in place, you can automate the entire user management process by adding in Didacte new employees or removing employees who are no longer part your organization directly from your Microsoft environment. Each selected Microsoft group will be imported and kept in sync in Didacte so you don't have to create your groups structure from scratch in Didacte.

Use this in combination with the Microsoft Single Sign-On so your users never have to worry about having yet another set of credentials to manage.

1. 🔗 Link your Microsoft account

In your Didacte account, go to the Microsoft integration section under Configuration → Advanced configuration → Integrations → Microsoft.

In order to grant permissions to Didacte to access group and members data from your Microsoft account, you need to have admin access to your Microsoft account.

If that's not the case, you can invite an IT admin to your Didacte platform so they can take care of this step.

Click on the Enable user provisioning button.

You will then have to:

  1. Log in to your organization's Microsoft account.

  2. Allow Didacte to read groups and members data from your Microsoft account. Note that Didacte cannot edit or delete any data in your Microsoft account.

2. ⚙️ Configure Microsoft groups and members synchronization

Once your Microsoft account is linked to your Didacte platform, the magic can start happening. Click on the Manage group selection button to get access to the list of all your Microsoft groups. Click on the Sync button for each group you want to sync to Didacte.

What does syncing a group to Didacte actually mean?

Syncing a Microsoft group to Didacte means Didacte will:

  • Create a group with the same name in your user groups section

  • Create Didacte accounts for every members of that group that exist in your Microsoft account

  • Keep groups and members infos in sync when they are updated in Microsoft (a group name or a member email, for example).

  • Delete a group if it's deleted in Microsoft

  • Deactivate Didacte users if they are deleted or deactivated in Microsoft

  • Deactivate Didacte users if they are no longer associated with any synced Microsoft Groups.

3. 🔐 Activate Microsoft Single Sign-On (SSO)

While optional, we highly recommend you also activate the Microsoft Single Sign-On, so users that are automatically added to your Didacte platform can log in easily.

If you don't enable the SSO, users that are automatically created will have to use the Reset password feature to set a password the first time they want to log in.

Note that if you enable the Require login via SSO only option, you won't be able to manually invite users anymore. This means every user in your Didacte platform must be synced from your Microsoft account.

If you need to manually give access to your Didacte platform to external users like consultants, partners or even employees without a Microsoft account, activate the SSO without enabling the Require login via SSO only option.

4. ✨ Let it sync!

You're now all set. Your groups and users will be imported on the next sync, which runs once every 24h, around 2 AM (EST).

This frequency should be enough when you've been up and running for a while, but if you prefer to start the sync right away, you can do so by clicking the Start sync at the top of the page.

This is especially useful when you are setting things up for the first time and want to test the result immediately or when you just did some significant changes to your sync configuration.

Once you're ready, just tell your members to log in to Didacte and their account will be ready, waiting for them.

What happens when a new user is synced to Didacte?

Unlike the manual invite process, a user added to Didacte using by an automated sync won't get an invitation email. This gives you the time to setup and test your synchronization setup without having to worry about the wrong people getting an invitation email if you made a configuration mistake (we all do!).

This also gives you time to fine-tune any automations and group settings before actually onboarding members on your Didacte platform. For example:

What if something goes wrong?

Don't worry, if anything unusual happens during the sync process, admin users of your platform will be notified by email with details about what happened. A typical error would be that a user from your Microsoft account doesn't have any email set in their Microsoft profile, which is required to create a Didacte user.

In that case, simply add the missing info in that user's Microsoft profile and wait for the next sync (or trigger one manually).

If a sync creating new Didacte users would make your platform go over its current users limit, Didacte will sync as many users as it can and then notify you by email so you can upgrade your plan or change your sync configuration accordingly.
